PPD Event Equipment & Services

The University of Florida’s Physical Plant Division (PPD) offers services and equipment to support your campus event.

Prior to completing an official request for PPD services, the event must be approved by the appropriate UF office. The Office of Student Activities and Involvement only permits and approves registered student organizations while the Office of the Vice President for Business Affairs permits and approves all other persons/groups for campus events. Please contact the appropriate office for event policies and procedures before continuing with PPD support.

Please contact PPD early in the planning stages and no later than two weeks in advance of the event to ensure we can assist you. Many campus events are scheduled around the same time and we assign staff and resources on a first come first serve basis.

To begin the PPD process, fill out a Request for Equipment and Services Form and email your completed form to workorder@admin.ufl.edu. If applicable you will receive an estimate for all requested items. The estimate must be accepted and approved before the Work Order is issued. It is the customer’s responsibility to contact Work Management and accept the estimate and provide funding information. Work will be scheduled on a first come first serve basis once the estimate is approved and funding is established.

Equipment Description


PPD Grounds works with the University Police Department to provide traffic control for approved special events on campus through the placement of barricades.

Tables and chairs

PPD Building Services rents the following equipment to campus events. These can be picked up or delivered and set up on location by staff for an additional fee.

Decorative palm plants

PPD Grounds maintains beautiful potted palms to green an event stage or surroundings. Make decorating easy and elegant with live plants.

Recycling, composting and trash containers

PPD Recycling and Waste Management can provide boxes, portable Clear Stream systems, carts, dumpsters and other equipment for events. For assistance with planning a “zero waste” or “reduced waste” event, please contact us early in the planning.

Free standing poster boards are 4'10" tall and 5'10" wide.

Services Description

Delivery and pick up of equipment

PPD Building Services can deliver and return rented equipment from PPD. This service is usually ordered with site set up. Minimum charges may apply.

Indoor site set up and clean up

PPD Building Services can provide set-up for special events after 4:30 p.m. week days, on weekends, or for holidays. Workers are those who sign up for overtime and are usually familiar with the building. Events held evenings, weekends and holidays typically require a minimum number of hours, and requesting a service does not guarantee the service can be provided unless a work order has been issued.

Outdoor site preparation and clean up

PPD Grounds works to ensure that outdoor locations are ready for approved events. This might include mowing, trimming, turning off sprinklers, eradicating fire ants, and setting up barricades. In addition, Grounds workers often agree to work after-hours events to provide waste and litter clean up. Events held evenings, weekends and holidays typically require a minimum number of hours, and requesting a service does not guarantee the service can be provided unless a work order has been issued.

Electricity and/or running water to site

PPD Utilities may be able to provide electrical and/or water utility connections to support the event. In most cases these services will add costs on either a fixed basis or through the installation of a meter to charge the customer for actual usage. Additionally, these services are only available at certain locations across campus and are limited in terms of available capacity. If these services are requested, a PPD-Utilities Representative will work with the requester on the availability.

Utility line tracing

Most of the University’s utilities distribution system is underground. Any digging, staking or ground penetration requires a Dig Permit to prevent potential hazards to safety and property. Before applying for a dig permit, please obtain an approval from the Office of Student Activities and Involvement (if registered student organization) or the Office of the Vice President for Business Affairs (if a University Department). You must also complete the required Sunshine State One Call Ticket and the UF Dig Permit applications.
